Privacy Policy

This Privacy Policy explains how KIAZO SOFT LLC ("KIAZO", "we", "us") collects and uses information in connection with the kiazosoft.com website (the "Site") and the KIAZO desktop software (the "Software").

1. Your practice records stay on your computer

The Software stores the records you create, such as your clients, appointments, reminders and financial entries, locally on your own computer. KIAZO does not host, collect, receive, access or process those records on any server, and we have no copy of them. Because of this, we do not act as a data processor or as a HIPAA "business associate" for those records. You control them and are responsible for them.

2. Information we collect

Waitlist. When you join the waitlist, we record your email address, the IP address of your request and the date and time you joined.

Purchases and billing. When you buy a license, we collect your name, email address, business name (if provided) and billing address. Card payments are handled by our payment processor, Stripe. We do not receive or store your full card number. We receive only limited payment details, such as card brand, the last four digits and the expiration date. Stripe's handling of your information is described in the Stripe Privacy Policy.

License verification and updates. When the Software checks your license or looks for updates, it sends your license key, the app version, your operating system type and a device identifier used to enforce license limits. It does not send your client records.

Support. If you email us, we receive your message and contact details.

Website technical data. Like most websites, our hosting provider keeps standard server logs, including IP address, browser type, pages requested and time of request. The Site also loads fonts and scripts from third-party content delivery networks (Google Fonts, cdnjs and the Tailwind CSS CDN). Those providers receive your IP address so they can deliver the files.

3. How we use information

• to send launch news to waitlist members;
• to process payments, issue receipts and manage subscriptions and renewals;
• to verify licenses, deliver updates and prevent license abuse;
• to respond to support requests;
• to keep the Site secure and prevent spam and fraud;
• to meet legal, tax and accounting obligations.

4. Cookies and tracking

The Site does not use advertising or analytics cookies, and we do not track you across other websites. Stripe may use cookies on its checkout pages for payment processing and fraud prevention.

5. How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only:

• with service providers that help us run the business, such as hosting, email delivery and payment processing, who may use it only to provide their services to us;
• when required by law, or to protect our rights, our users or the public;
• as part of a merger, acquisition or sale of assets, subject to this policy.

6. Emails

Waitlist members receive launch emails. Customers receive transactional emails such as receipts, renewal reminders and important service notices. You can unsubscribe from launch and marketing emails at any time using the link in the email or by contacting us. Transactional emails continue while you have an active license.

7. Retention

We keep waitlist entries until launch or until you ask us to remove them. We keep billing and transaction records for as long as needed to meet legal, tax and accounting requirements. License records are kept while your license is active and for a reasonable period afterwards.

8. Security

We use reasonable administrative and technical measures to protect the limited information we hold, including encrypted (HTTPS) connections to the Site. No method of transmission or storage is completely secure. Securing the records stored on your own computer is your responsibility.

9. Your choices and rights

You can ask us to access, correct or delete the personal information we hold about you, or to remove you from the waitlist, by emailing support@kiazosoft.com. Depending on the state where you live, you may have additional privacy rights under applicable law. We will not discriminate against you for exercising them. We may need to verify your identity before acting on a request.

10. Children

The Site and Software are intended for businesses and adults. They are not directed to children under 13, and we do not knowingly collect personal information from children.

11. Where information is processed

KIAZO is based in the United States, and the limited information we collect is processed in the United States.

12. Changes to this policy

We may update this policy from time to time. We will post the new version on this page with a new effective date and, for material changes, notify customers by email.
